We are committed to ensuring that any personal data you share with us is handled professionally and appropriately. Personal data is defined as data that can directly or indirectly be used to identify an individual. 

 

Personal data that we will typically collect will be

 

  • Name

  • Date of birth

  • Pronouns 

  • Email Address 

  • Account number + Sort Code (For payments made to beneficiaries) 

  • Any relevant documentation that can confirm refugee status (When appropriate)

  • Any supporting documentation when required that can show proof of circumstances that require aid. (For example, for a bursary to cover car repair fee’s, we may ask to see documentation to prove ownership of the car) 

  • IP Address (Automatically collected as you load our website)

 

You are not obliged to provide any personal information, however without providing the necessary information, it may impact our ability to provide an adequate service.

 3. HOW DO WE COLLECT YOUR INFORMATION?

 

Our first point of information collection will be via our contact form contained within our website where the only compulsory information required of you will be a given first name. Our online contact form also contains the option to attach documentation if documentation is immediately wanting to be provided. After communication has been opened and your case has been assessed, we may require specific / further documentation which you will be notified of via a private email. 

 

 4. HOW DO WE STORE YOUR INFORMATION?

 

Our website is hosted by WIX using their website builder and all information processed through our website are held on secured severs behind a firewall. 

 

Information sent to us directly either via email or our contact form will be held by us on a secured computer while your case is processed and seen to. After your case has been seen to and resolved, all data collected will be deleted unless both parties conclude the information collected may be needed again in the future to which information will then be kept for up to a year on a secured external hardrive. 

 

 5. HOW DO WE USE YOUR DATA

 

With the data collected, we will be able to further assess your case and figure out how to provide you with the best service possible. This may also require information being shared with 3rd parties on a need to know basis.

 

 6. WITHDRAWING CONSENT

 

Under ‘The Data Protection Act 2018’ and the ‘General Data Protection Regulation’ you are entitled at any point to withdraw your consent for us to store and process your information. To do this, we require you to get in contact with us via email with the subject field being “Withdrawal”. You can then state whether specific information or all information be deleted. It is important to note too that depending on the status of your case, deletion of information may impact our ability to process your case. 

 

 7. COOKIES

 

Our website only utilises essential “Session” cookies. These cookies allow us to see how you interact with our website. For example, what pages you visit and in what order. This information will allow us to better optimise our website for users. These cookies will also help us to further improve the security of our website and prevent fraud.
